The Challenge

Like many growing organizations, Udhyam relied on specialized SaaS applications to manage key HR processes, including recruitment and performance appraisals.

The first challenge emerged when the organization's recruitment platform was scheduled to be sunset within a year. While the timeline provided some flexibility, Udhyam needed to identify a sustainable alternative that would support its recruitment processes without increasing long-term technology costs.

Shortly thereafter, a second and more urgent challenge arose.

The organization's appraisal platform was also being sunset within the next quarter, creating a much tighter timeline. The January–March appraisal cycle could still be completed using the existing system, but the platform would not be available for the next appraisal cycle.

With critical HR processes dependent on systems that were approaching end-of-life, Udhyam needed a solution that could ensure continuity while remaining financially sustainable over the long term.

GXCO's Approach

Rather than recommending a replacement product immediately, GXCO worked closely with Udhyam to evaluate the available options and identify the most suitable long-term strategy.

For both recruitment and appraisal management, the organization considered two possible approaches:

  • Continue subscribing to third-party SaaS platforms
  • Build and customize the required functionality within their existing Frappe ecosystem

GXCO demonstrated the recruitment capabilities available through Frappe and showcased the flexibility available through customization. The solution aligned closely with Udhyam's requirements and received positive feedback from stakeholders.

A similar assessment was conducted for the appraisal system when the second sunset announcement created an urgent need for replacement.

The Solution

Following a detailed cost-benefit analysis, Udhyam concluded that switching HR processes to a customized Frappe-based applications would be more cost-effective and sustainable than maintaining multiple recurring SaaS subscriptions.

GXCO began implementing:

Recruitment Management System

A customized recruitment application designed to support candidate tracking, hiring workflows, and recruitment operations while aligning with Udhyam's internal processes.

Performance Appraisal System

A tailored appraisal solution designed to support performance review cycles, manager evaluations, employee feedback, and organizational performance management requirements.

Both applications are being developed to fit seamlessly within Udhyam's existing technology ecosystem, reducing dependency on external tools while increasing flexibility for future enhancements.

Beyond Technology Implementation

This engagement reflects GXCO's broader approach to working with nonprofit organizations.

Rather than acting solely as a software provider, GXCO partnered closely with Udhyam during a period of uncertainty, helping the organization assess alternatives, understand long-term implications, and make informed technology decisions.

By focusing on sustainability, cost-effectiveness, and continuity of operations, the collaboration ensured that critical HR processes could continue without disruption despite the retirement of existing systems.

Expected Benefits

✔ Reduced dependence on multiple third-party SaaS platforms
✔ Lower long-term technology costs
✔ Greater flexibility through customized workflows
✔ Improved integration with existing systems
✔ Business continuity during platform transitions
✔ Stronger control over organizational data and processes
✔ A scalable HR technology foundation aligned with future growth

Key Takeaway

When critical systems approach end-of-life, organizations often face pressure to adopt another subscription-based solution quickly. By working closely with Udhyam, GXCO helped transform a potential operational risk into an opportunity to build a more sustainable, integrated, and future-ready HR technology ecosystem.
